Work smarter

The routine work, done without anyone remembering to do it

Tell Vextron “when this happens, do that”, by dragging steps rather than writing code. Confirmations go out, the right people are told, and you can see exactly what ran and what did not.

What it fixes for your agency

  1. The problem

A placement is confirmed, and someone has to remember which email to send, which documents to attach and who to send them to.

    How Vextron fixes it

The confirmation pack goes out by itself

One placement confirmation rule decides which email template and which documents go out when a placement is confirmed, and to whom. It lives in one place, not in several that can disagree.

    What you gain

Every new placement starts the same, professional way, and nobody spends the afternoon on paperwork.

  2. The problem

Your process lives in people’s heads, so it changes with whoever is on the desk that day.

    How Vextron fixes it

    Your process, built by dragging

Workflows are built by dragging steps into place, with waits, delayed actions and stop conditions. Nobody needs to write code.

    What you gain

The process runs the same way every time, whoever is on the desk, so fewer opportunities slip.

  3. The problem

An automation quietly stops working, and you only find out when a client asks why they heard nothing.

    How Vextron fixes it

You can see what ran, and what failed

Failed steps are retried, and the ones that run out of retries are reported. The automation dashboard shows what ran, what succeeded, what failed, what retried and what gave up.

    What you gain

Problems are spotted and fixed before a candidate or client notices.

  4. The problem

Someone edits a workflow while it is running, and people get messages that no longer make sense.

    How Vextron fixes it

    Pause means stop

There is no paused state that picks up again in a workflow someone has since changed. Starting again is a fresh start.

    What you gain

Candidates and clients never receive half of an old process stitched to a new one.

  5. The problem

Either everyone is copied in on everything, or the one person who needed to know is not told.

    How Vextron fixes it

The right people hear about it

Notification rules decide who hears about what. They are set by your agency, not fixed in the software.

    What you gain

Less noise for the team, and fewer things missed because the right person was not told.

Build your own process, without a developer

Say “when this happens, do that” by dragging steps into place. Each running workflow shows where it has got to.

  • Waits and delayed actions
  • Retries, with failures reported
  • Stop conditions that end an enrolment
  • Pause means stop, so nothing resumes into an edited workflow

The follow-through happens on time

Confirmations for placements and interviews, scheduled emails and follow-up tasks are set once in settings and then simply happen.

  • Placement and interview confirmation rules
  • Scheduled email rules
  • Follow-up tasks raised from templates when certain activities are logged
  • Reminders for follow-ups due, each linking to the record it is about

Trust what runs in your name

The automation dashboard and the execution log show whether your automations are working, so nothing fails quietly.

  • What ran, succeeded, failed, retried and gave up
  • The detail behind every run in the execution log
  • Notification rules your agency sets

Automation in detail

The automation settings hold workflows, scheduled emails, the execution log, notification rules, the placement and interview confirmation rules, how shortlist messages are routed, and background automations. A workflow records each running enrolment and where it has got to, so the agency can see who is in which process.

The placement confirmation rule is a single place that decides everything that goes out when a placement is confirmed: which email template, and which documents ride along with it.

Questions about automation

Do we need a developer to set up automations?

No. Workflows are built by dragging steps into place, with waits, delayed actions and stop conditions, without writing code.

What happens if we change a workflow while it is running?

Pausing a workflow stops it. Nothing resumes into a workflow that has been edited since; starting again is a new enrolment.

How do we know our automations are working?

Failed steps are retried, and any that run out of retries are reported. The automation dashboard shows what ran, what succeeded, what failed, what retried and what gave up.

Is this AI?

Workflows follow the steps and rules your agency sets. You can also call one of Flynn’s agents in as a step, for example to score a candidate or draft a message, and it works within the limits you have set for it.
