What it fixes for your consultants

  1. The problem

Emails live in Outlook, the candidate lives in the CRM, and someone has to copy one into the other.

    How Vextron fixes it

Every email on the right record

Mail syncs both ways within seconds, and every message is matched to the candidate, contact or company it belongs to, without anyone logging it.

    What you gain

Consultants spend their time on candidates and clients, not on filing, and the whole history is there when a colleague picks up.

  2. The problem

A new candidate is added, and months of earlier emails with them are nowhere to be seen.

    How Vextron fixes it

Older mail found for new records

When a new record is created, older emails with that person are matched to it as well.

    What you gain

Nobody walks into a call without knowing what was said before.

  3. The problem

Emails sent from the system arrive from an address the candidate has never seen, and never show in your Sent folder.

    How Vextron fixes it

    Sent from your own mailbox

Email goes out as the consultant, from their own mailbox. It lands in their Sent folder and carries their own domain’s reputation rather than a platform sender’s.

    What you gain

Candidates and clients see a name they know, and your consultants’ sent mail stays complete.

  4. The problem

An interview is booked in the CRM, but not in the calendar on your phone, and the two never agree.

    How Vextron fixes it

One calendar, in step both ways

Interviews and meetings booked in Vextron appear in the consultant’s real calendar, and the other way round, matched rather than duplicated.

    What you gain

The diary is right wherever the consultant looks, so interviews are not lost between two calendars.

  5. The problem

A template goes out with a blank where the name should be, and it looks careless.

    How Vextron fixes it

    Nothing goes out half-filled

An email with an unfilled merge field is refused and held in a blocked queue with the reason, instead of going out addressed to “Dear {{first_name}}”.

    What you gain

Your agency never looks careless in front of a candidate or a client.

every email filed for you

Your inbox files itself

Mail from each consultant’s own inbox lands on the candidate, contact, company or job it belongs to. Interviews stay in step with their real calendar. Nobody logs a thing.

An animated example: new emails arrive in a consultant’s inbox and are filed onto the matching candidate, client contact, company and job records, and an interview appears in both the Vextron calendar and the consultant’s own calendar.

Interviews and meetings stay in step with each consultant’s Google or Microsoft calendar. Confirmations go out, and candidates and clients reply from a link.

  • Two-way sync, matched rather than duplicated
  • Confirm or decline from an email, with no account
  • Moving or cancelling an interview updates the emails that go with it

A day in a consultant’s inbox

  1. 08:30The inbox, already filed

Mail from a client about a live role is already attached to that company and that job. Nothing needs filing.

  2. 10:00A reply from the record

The consultant replies from inside Vextron. It goes from their own mailbox and lands in their Sent folder.

  3. 11:30A new candidate, with their history

A new candidate record is created, and earlier emails with that person are matched to it automatically.

  4. 15:00An interview, booked once

The interview goes into the consultant’s real calendar. The candidate and the client confirm from a link in an email.

  5. 16:30A careless email, stopped

A template email with an empty name field is held in the blocked queue with the reason, rather than sent.

Email and calendar in detail

A consultant connects their own Gmail or Outlook mailbox and calendar from their personal settings. From then on mail syncs both ways within seconds, and each message is matched to the candidate, contact or company it belongs to. The inbox inside Vextron has folders and drafts, and a reminder banner links straight to drafts a consultant still owes.

Interviews booked in Vextron go into the consultant’s real calendar. The candidate and the client confirm from a link in an email, with no account, and moving or cancelling the interview moves or cancels the event and the emails that go with it.

Questions about email and calendar

Does Vextron work with Gmail and Outlook?

Yes. Each recruiter connects their own Google Workspace or Microsoft 365 mailbox and calendar. Email syncs both ways within seconds, is matched to the right candidate, contact or company, and goes out from the recruiter’s own mailbox.

Do we need a shared agency email login?

No. Each consultant connects their own mailbox and calendar, once, from their personal settings.

What about emails from before a candidate was added?

When a new record is created, older emails with that person are matched to it too.

What happens if a consultant disconnects their mailbox?

Disconnecting deletes the synced data.
