Never lose margin to a rate keyed in wrong

Your rate schemes, job-title rates, client overrides and shift types work out the pay and charge rate for every booking, then fix them onto the placement. Perm fees and contract day rates sit on the placement too, with the margin in plain view.

What it fixes for your margin

  1. The problem

Nights and weekends are worked out by hand on every shift, and one wrong sum takes the margin with it.

    How Vextron fixes it

Uplifts that belong to the shift

Shift types such as Night or Weekend carry their own times and their own rates, so the uplift comes with the shift, not with a recruiter’s arithmetic.

    What you gain

Unsocial hours are charged correctly every time, so the premium you agreed is the premium you bill.

  2. The problem

Every client has a slightly different rate card, kept in a spreadsheet only one person understands.

    How Vextron fixes it

Client rates held where bookings are made

Rate schemes set what clients are charged and what workers are paid, with job-title rates and per-client overrides on top.

    What you gain

Anyone on the desk can book any client at the right rate, not just the person who remembers the deal.

  3. The problem

A rate review lands, and last month’s bookings no longer match what was invoiced.

    How Vextron fixes it

    Rates frozen onto the placement

Rates are worked out at booking and a snapshot is fixed onto the placement, so a later change never rewrites history.

    What you gain

What was booked and what was billed always agree, and a rate change only touches the bookings after it.

  4. The problem

You only find out a placement was thin on margin when the month’s figures come in.

    How Vextron fixes it

    Margin in plain view

Pay rate, charge rate and the margin between them sit on every placement, with the true cost of the placement beside them.

    What you gain

A thin margin shows up while the deal can still be changed, not after the month has closed.

  5. The problem

Perm fees, contract day rates and temp shifts are tracked in three different places.

    How Vextron fixes it

Every kind of deal on one record

A perm placement carries its fee, a contract its day rate and engagement type, and a temp booking its pay and charge rates.

    What you gain

One place to see what every desk has earned, whichever way it was earned.

Your rate structure, set once

Build rate schemes in settings: what clients are charged and what workers are paid, with job-title rates and per-client overrides on top. Shift types add their own rates.

  • Rate schemes set by the agency, in settings
  • Job-title rates and client-specific overrides
  • Shift types such as Full Day, AM, PM, Night and Evening, or your own

Worked out at booking, fixed for good

When a shift is booked, the pay and charge rates are worked out from your layers and frozen onto the booking and the placement.

  • One row per worker per shift, each with its own pay and charge rate
  • A rate snapshot taken at booking
  • Pay reviews flow forward, never backwards

Perm, contract and temp on one record

The placement holds the commercial terms of every engagement: the fee for a perm hire, the day or hourly rate for a contractor, and the pay and charge rates for a temp.

  • Engagement type: PAYE, umbrella or limited company
  • IR35 status, and the umbrella company where there is one
  • The job’s financials and the true cost of the placement

Rates and margin in detail

Rates are built in layers. The rate scheme sets what clients are charged and what temps are paid. Job-title rates and per-client overrides sit on top, and shift types such as Night or Weekend carry their own rates, so an uplift is a property of the shift rather than arithmetic a recruiter does each time. When a shift is booked, the right pay and charge rate is worked out from those layers.

The result is frozen onto the placement as a rate snapshot, so later rate changes never rewrite history. The placement also carries the fee for a perm hire, the day or hourly rate and engagement type for a contractor, and the true cost of the placement, so the margin, the charge rate minus the pay rate, is always in view.

Questions about rates and margin

Do recruiters have to work out night and weekend rates?

No. Shift types carry their own rates, so the uplift comes with the shift when it is booked.

What happens to past bookings when we change a rate?

Nothing. Rates are frozen onto the booking and the placement when it is made, so a change only applies to bookings made after it.

Can one client have different rates from the rest?

Yes. Per-client overrides sit on top of the rate scheme and job-title rates, and a client’s own shift types and rates are held on its company record.

Does it cover perm and contract as well as temp?

Yes. A perm placement carries its fee, and a contract carries its day or hourly rate, its engagement type and its IR35 status.
