Run the agency

Stop working around your software

Almost everything in Vextron is yours to set: your brand, your records and pipeline stages, your forms and templates, the rules your desks run on, your automations, who reaches what and how Flynn behaves. Your own people change it in settings, with no customisation project.

What it fixes for agency owners

  1. The problem

The system came with someone else’s fields and stages, so the team works around it.

    How Vextron fixes it

    Records shaped to your desks

Choose which tabs appear on a record and in what order, the fields on each form, the header, the grid columns and the hiring pipeline stages.

    What you gain

Screens that match how your agency works, so people fill them in rather than working around them.

  2. The problem

Registration and vetting still run on paper, and someone types every form in again.

    How Vextron fixes it

Forms that fill in the record

Build application, registration, vetting and compliance forms with conditional questions, file uploads and e-signatures. The answers go straight into the record. Use them in the candidate portal for onboarding, and the answers feed compliance as well as the record.

    What you gain

Paper comes out of onboarding, and the retyping goes with it.

  3. The problem

Every recruiter writes the same email their own way, and what reaches clients does not look like one agency.

    How Vextron fixes it

Wording set once, used by everyone

Templates for emails, texts, WhatsApp messages, documents, CVs and screening questions, with one agency-wide email signature and disclaimer. Your logo, colours and typeface are set once and used by the portal, emails, CVs and PDFs.

    What you gain

Everything that leaves the agency sounds and looks like your agency.

  4. The problem

Changing how a desk runs means asking your software supplier, then waiting.

    How Vextron fixes it

    Your rules, changed by you

Shift types with their own times and rates, how long an offer waits, the checks each sector needs, and what goes out when a placement is confirmed are all settings your admins change.

    What you gain

When the way you work changes, the system changes with it, without a wait.

  5. The problem

Access comes in fixed tiers, so people either see too much or keep asking an admin.

    How Vextron fixes it

    Access that fits your structure

Each role has a default set of areas, which you can change. Give one person an extra area, or take one away, settings sections included.

    What you gain

People get what their job needs, without anyone being made an administrator to get it.

  6. The problem

Change the pipeline, and candidates on live jobs get shuffled mid-process.

    How Vextron fixes it

Changes that never upset live work

A job keeps the pipeline it was created with, so editing a pipeline template never reshuffles candidates on live jobs.

    What you gain

Improve your process whenever you like, without disturbing the roles already in progress.

Most systems ask you to work their way. Vextron works yours. Set your brand once, decide what goes out when a placement lands, write your temp desk’s own rules and hand one area to one person. Each change shows up where the work happens.

Customisation in detail

Record design decides which tabs appear on a record and in what order, the fields on each form, the header layout, the grid views and their columns, and the hiring pipeline stages. It is configuration the agency does itself, rather than a customisation project.

Every area of the product can be granted or withheld per role and per person, and settings areas work the same way. The result is that an agency shapes the product around its own structure, rather than choosing from fixed permission tiers.

The agency’s own rules live in settings too: what goes out when a placement or an interview is confirmed, the temp desk’s shift types, rates and offer timings, and the checks each sector needs. The brand is set once and used by the portal, the emails, the CVs and the PDFs.

Placeholder: longer write-up for search engines (about 400 to 600 words) to come.

Questions about customisation

Can we set our own hiring pipeline stages?

Yes. The agency sets its own stages. A job keeps the pipeline it was created with, so a later change never reshuffles candidates on live jobs.

Can one person look after our templates without being an admin?

Yes. Settings areas can be given to individuals just like the main screens, so one person can own the email templates and nothing else.

Do we have to write every template from scratch?

No. Some kinds of template come from a shared library. Use the shared one, or copy it and edit your own version; your edits never touch anyone else’s.

What happens if someone opens an area they do not have?

They see a page that names the area and says their admin controls it, never a blank screen that looks like a fault.

Do we need a developer to change how Vextron works?

No. Records, stages, forms, templates, rules, automations and access are all settings your own admins change. Workflows are built by dragging, not coding.

Can our perm, contract and temp desks work differently?

Yes. The temp desk has its own shift types, rates and offer rules, the checks are set per sector, and each role or person gets the areas their desk needs. Everyone still works on the same records.
