Vextron

Vextron

For finance and payroll

Nobody paid wrong. Nothing billed late.

Approved hours turn into pay and invoices with nothing re-keyed. Clean sheets clear in bulk, the few exceptions wait with their reason, and the runs go to the payroll and accounts systems you already use.

What it fixes at the finance desk

  1. The problem

Monday goes on opening every timesheet to find the handful that are wrong.

    How Vextron fixes it

    Only the exceptions need you

Clean sheets are approved together. The rest are listed with the actual reason beside each: a rate that doesn’t match the placement, a missing purchase order, an incomplete bank record.

    What you gain

The pay run goes on time, and the one worker with a problem is paid right, not paid late.

  2. The problem

Who still owes you is a question for the accountant, and a correction quietly changes last month’s figures.

    How Vextron fixes it

Money in, and every correction on the record

Payments are recorded against their invoices, and aged debt is there to see without asking. A correction becomes a credit note linked to the original invoice, never an edit.

    What you gain

You chase the right invoices first, and cash comes in sooner.

  3. The problem

Rates are worked out by hand on the desk, and the slip only shows up when a worker is paid wrong.

    How Vextron fixes it

    Rates worked out, then fixed

Pay and charge rates come from your rate scheme, the job-title rate and any client override, and are fixed onto the booking when it is made.

    What you gain

Fewer rates keyed in wrong, and a rate change never rewrites the past.

  4. The problem

The terms of a placement live in a recruiter’s email, so finance has to ask.

    How Vextron fixes it

    The terms on the placement

Each placement records the fee or the pay and charge rates, how the worker is paid (PAYE, umbrella or limited company), their IR35 status, National Insurance and VAT treatment, and a reference. A perm fee goes on the invoice run from there.

    What you gain

Finance invoices from the record, so the fee billed is the fee agreed.

  5. The problem

The pay file and the month’s figures are rebuilt by hand, every time someone asks.

    How Vextron fixes it

Runs exported, figures on a schedule

Pay runs and invoice runs leave as files your payroll and accounts systems take in, with control totals to check. Reports arrive by email on the day you choose, and a full CSV export is there any time.

    What you gain

Your systems stay as they are, and nobody spends Friday on a spreadsheet.

Is switching worth it for your finance team?

Moving happens once. After that, the pay run is checked by exception and invoices go out with their purchase order attached, so the cash arrives sooner, week after week.

Finance teams and Vextron

Finance and payroll people are not recruiters. They run the money, and they are measured on nobody being paid wrong and nothing being billed late.

In Vextron the hours a client approves become the pay run and the invoice run, with the margin between them. The rates come from the agency’s rate scheme and are captured on each booking, and the placement holds the commercial terms, so finance works from the record rather than from a chain of emails.

Questions from finance and payroll

Can the AI change a rate, pay or an invoice?

No. Money is out of reach of the AI: no agent or automated step can touch pay, bills or invoices. Flynn can point things out, such as the month heading short of target, and a person decides what happens.

Do we have to change our payroll or accounts system?

No. Vextron prepares the pay run and the invoice run as files for the systems you already use. It does not run payroll itself.

Is there a finance role?

Not a fixed one. Your agency gives a finance or payroll person the areas they need, without the recruitment pipeline.

Can we measure margin our own way?

Yes. The agency defines its own measures, such as gross margin per placement, once, and uses them everywhere.

Can we take our data out?

Yes. A full CSV export is available from settings at any time, without asking anyone.
