Vextron

Vextron

client portal

A portal for clients who want one. An email for those who don’t.

Give clients a branded place to see who you’ve placed, check today’s workforce, request staff and approve timesheets. The clients who will never log in approve the same timesheets from an email.

01 / 10 · Dashboard

Everyone you’ve placed with them, at a glance

For the client
Who is working for them through your agency, and what needs their attention, on one page.
For your agency
Fewer “who have we got this week?” emails, and a client who can see what you do for them.

02 / 10 · Placements

Every placement, temp, contract or permanent

For the client
Temps, contractors and permanent hires in one list, with when each started or ends.
For your agency
The client sees your whole relationship with them, not just this week’s shifts.

03 / 10 · Workforce

Their temporary workforce, today

For the client
Who is on site and on which shift, without ringing anyone to ask.
For your agency
Fewer calls to check who has turned up and who is booked.

04 / 10 · Request staff

Ask for staff without writing an email

For the client
Raise a requirement in a minute: the role, how many, when and where.
For your agency
Requirements arrive complete and in one place, not buried in somebody’s inbox.

05 / 10 · Talent pool

Book from people you’ve already vetted

For the client
Browse the pre-vetted candidates you have offered them, and book the ones they want.
For your agency
Your best people get booked sooner, and the client books them through you.

06 / 10 · Timesheets

Approve in the portal, or from an email

For the client
Clients who like a portal see their timesheets waiting there and approve them in a click.
For your agency
Approval never waits on a client setting up an account. If nobody acts, the system chases them, then a senior contact, so your consultants don’t chase by hand.

07 / 10 · Permanent jobs

Permanent roles, and a search across them

For the client
Their permanent vacancies with you, with shortlists to look at and interviews booked.
For your agency
Feedback on a shortlist is one click away for the client, so it comes back sooner.

08 / 10 · Messages

One conversation with the agency

For the client
A thread with their consultant, next to everything else they need.
For your agency
Conversations stay in one place, not in personal inboxes.

09 / 10 · Alerts

Told when something needs them

For the client
A nudge when there is something to approve, a booking is confirmed or a contract is coming to an end.
For your agency
Clients act on time without your team having to chase.

10 / 10 · Access

Ask for access, or just look

For the client
Anyone at the client can ask for access themselves. A view-only account suits someone who should see, but not act.
For your agency
Nobody waits for your team to set them up, and people who only need to look can’t approve by mistake.

What it fixes for your clients and your desk

  1. The problem

Clients won’t adopt another login, so timesheet approvals stall and workers wait to be paid.

    How Vextron fixes it

Approval from an email, or the portal

Clients approve from an email with no account and no password, or in their portal if they have one.

    What you gain

Approval never waits on a client setting up an account, so pay isn’t held up.

  2. The problem

Clients ring to ask who is on site today and who you have placed with them.

    How Vextron fixes it

    Their workforce, in one place

The portal shows everyone you have placed with them and their temporary workforce, shift by shift.

    What you gain

Fewer calls to answer, and a client who can see what you do for them.

  3. The problem

Requirements arrive by phone, text and email, often with half the details missing.

    How Vextron fixes it

    Request staff without an email

Clients raise a requirement in the portal: the role, how many, when and where.

    What you gain

Requirements arrive complete and in one place, so you fill them faster.

  4. The problem

Clients don’t know who you already have ready, so good people sit unused.

    How Vextron fixes it

A talent pool they book from

Clients browse the pre-vetted candidates you have offered them and book the ones they want.

    What you gain

Your best people get booked sooner, and the booking comes through you.

  5. The problem

Someone at the client needs to see what’s happening, but shouldn’t be the one approving.

    How Vextron fixes it

    Request access and view-only accounts

People at the client can ask for access themselves, and a view-only account lets someone see without acting.

    What you gain

Nobody waits for you to set them up, and nothing is approved by the wrong person by mistake.

Everything in the portal

Every section your clients can use. You choose which ones they see.

  • Dashboard

Who you have placed with them, and what needs their attention.

  • Placements

Every placement, temp, contract or permanent, in one list.

  • Request Staff

Raise a requirement without emailing anybody.

  • Talent Pool

Browse and book the pre-vetted candidates you have offered them.

  • Timesheets

    Approve timesheets in the portal.

  • Approve from an email

The same approval, with nothing to sign in to.

  • Permanent Jobs

Their permanent roles with you, in one place.

  • Search

Search across the roles and people your agency is handling for them.

  • Messages

One conversation with your agency, in the portal.

  • Your brand, your choice of sections

Your logo, colours and typeface, and you choose which sections clients see.

the client has a day job

Built for clients who are busy

Your client is a site supervisor, a hiring manager or a ward lead, and your agency is one item on their list. So nothing depends on them logging in.

  • They never have to log in

An email with the hours laid out and a locked PDF attached, an Approve button and a confirmation step. That’s it.

  • Away? Pass it on

A link in the email hands the approval to a colleague.

  • A PIN, if you want one

Your agency can ask for a PIN on email approvals.

  • The system does the chasing

If nobody acts, it reminds them, then a senior contact, so your consultants don’t chase by hand.

  • A portal when they want one

Offered as an upgrade, never a requirement. Email always works.

  • Your brand on all of it

The emails and the portal use the same logo, colours and typeface, set once.

Questions about the client portal

Do clients have to use the portal?

No. Clients can approve timesheets from an email with no account and no password. The portal is there for the clients who want a place to look.

How does approving from an email work?

The email lays out the hours with a locked PDF attached. The client presses Approve and confirms. Your agency can ask for a PIN, and there is a link to pass it to a colleague.

Can clients ask for staff in the portal?

Yes. They can raise a requirement without emailing anybody, or book from the pre-vetted candidates you have offered them.

Can someone at the client look without approving?

Yes. A portal account can be made view-only, for someone who should see but not act.
